Enquiry systems for aesthetic and dermatology clinics in Dubai and the UAE. 21:14. An Instagram message asks what it costs. Who offers the consultation?

Lucidarc Digital builds the patient-enquiry system for aesthetic and dermatology clinics in the UAE: treatment pages and campaigns your clinic approves, one inbox for Instagram, WhatsApp and web enquiries, administrative replies with a named coordinator taking over, and reminders patients agreed to. It runs as a fixed-fee 90-day programme of AED 15,000–30,000. Evidence · published The 90-day system: fixed fee. AED 15,000–30,000 (≈ USD 4,000–8,000), fixed for the first 90 days and covering everything we set up. The audit sets the exact number within the range. 03 · How they choose

How patients choose and enquire.

What happens before anyone contacts you. Open a step for the detail.

  1. 01

    They pay for it themselves

Dubai's basic insurance plan excludes all cosmetic services, so many first messages are about price. A bare number answers the question and ends the conversation; a price range with its conditions and the offer of a consultation keeps the conversation going.

  2. 02

They message, often straight from a post

Instagram and WhatsApp are where many aesthetic enquiries start, and every clinic site we sampled puts WhatsApp click-to-chat on the page. The message arrives whenever the patient is scrolling, including after your front desk has gone home.

  3. 03

They check who will treat them

DHA's cosmetic standard says toxin and fillers shall only be administered by a trained and privileged licensed physician. Booking platforms list clinics beside salons, and doctors quoted by Khaleej Times in 2025 named home or salon treatment and very low prices as warning signs. A named doctor under their exact licence title does more for trust than another offer.

  4. 04

    A face-to-face consultation comes first

DHA's cosmetic standard makes an in-person consultation and assessment mandatory before any non-surgical cosmetic procedure; a remote assessment is not acceptable. So the job of every enquiry is to reach that consultation, not to sell a treatment in a chat.

  5. 05

    Treatments repeat

Clinics advise repeat sessions for many treatments, some every few months. The second visit matters as much as the first, and it depends on a recall the patient agreed to, not on anyone's memory.

04 · The leak

Where aesthetics enquiries get lost.

Most happen after the enquiry arrives. The free audit shows which apply to you.

  1. Leak 01

Price checks that never become a consultation

A DM asks what it costs. It gets a number, or no reply, and never the offer of an in-person consultation with a named doctor. Your Instagram is doing its job; the leak is the reply.

  2. Leak 02

    Enquiries in four inboxes

Instagram, WhatsApp, the website form and the booking platform each hold their own messages. Nobody owns them as one list, so nobody can say what a booked consultation costs.

  3. Leak 03

A consultation with no written follow-up

DHA already requires written information on the procedure, its risks and the financial implications. When nothing written follows the consultation, the patient decides without your numbers in front of them.

  4. Leak 04

    Recalls left to memory

A patient who was happy can drift to another clinic's offer simply because nobody asked whether they wanted to rebook. A recall works only if the patient opted in and it's worded with your medical director.

  5. Leak 05

Laser enquiries routed to the wrong practitioner

Laser and IPL hair removal must be given by a practitioner of the patient's gender, except on the face and extremities. When the enquiry doesn't capture that, the booking is redone.

  6. Leak 06

Offers that bring messages, not patients

A promotion fills the inbox with people asking the price again. Without a question about treatment interest and branch, the front desk can't tell who is ready to book.

Your 90 days, built for aesthetic & dermatology clinics.

The same three months as every 90-day system, shaped for aesthetic & dermatology clinics. You own every account from the first day. Evidence · published You own every account. 1. Month 1

    Foundation

What we build · 5 steps
    • Treatment pages for each service line, built around booking an in-person consultation, with from-prices only where you confirm them, stated with their conditions.
    • Each practitioner shown under the exact title on their DHA licence, and your MOHAP medical-advertisement licence number on the site and social profiles.
    • An approval trail: every page, ad and message template waits for your clinic's approval, and the approved version is archived with its edits.
    • Instagram, WhatsApp, website and booking-platform enquiries in one CRM, each with an owner on your team.
    • A Google Business Profile for each branch, and tracking that counts booked consultations rather than form fills.
  2. Month 2

    Acquisition

What we build · 4 steps
    • Meta and Google campaigns by treatment and branch, set to adult audiences and judged on booked consultations.
    • Answer pages for the questions patients ask search and AI assistants: who may treat them, what a consultation involves, what a price includes. Your clinic approves each one.
    • Before-and-after content only with documented consent, unedited, and with DHA's variation statement and risks in the same font size.
    • Creator visits checked for the creator's advertiser permit and your medical director's approval before anything is filmed.
  3. Month 3

    Automation

What we build · 4 steps
    • A WhatsApp and Instagram assistant that acknowledges each message, answers administrative questions from a sheet you approve (hours, branches, price ranges with conditions, what to bring) and hands over to a named coordinator. It never comments on suitability or results.
    • Routing by branch, language and, for laser hair removal, practitioner gender.
    • Confirmations and reminders for booked consultations, the clinic's written summary sent after the consultation, and recalls at your intervals that ask rather than assign a time.
    • A dashboard from ad spend to attended consultation, by treatment, channel and branch.

What we'd measure

  • Enquiries by channel, treatment and branch
  • Share of enquiries with a named owner and a logged outcome
  • Time to first reply from a person, measured rather than promised
  • Consultations booked, and the share attended
  • Consultation-to-treatment rate
  • Recall rebooking rate among patients who opted in
  • Cost per attended consultation, by campaign

Measured in your own accounts from the first month. Any target is a planning range, never a promise.

07 · Choosing an agency

How to choose an agency for aesthetic & dermatology clinics.

Questions to ask whoever you hire, including us.

  1. 01

They build an approval step for your medical director

Ask to see how a post goes from draft to approved to archived. If the answer is a WhatsApp group and good intentions, the archive DHA expects doesn't exist.
  2. 02

They know who may be shown treating patients

Creative should never show anyone giving toxin or filler who isn't licensed and privileged to do it, and every title should match the licence. Ask how they check both.
  3. 03

    Their automation stays administrative

Ask what their assistant says when a patient asks whether a treatment will suit them. The right answer is that it hands the conversation to a person.
  4. 04

They report attended consultations, not messages

Messages are cheap to produce. Ask how a WhatsApp chat becomes a booked and attended consultation in their report, and what it cost.
  5. 05

They won't write offers you can't honour

From-prices with their conditions, no free trials, no money-back promises. Ask how they handled the last offer a clinic wanted to run.
  6. 06

You own the accounts and the data

The ad accounts, the WhatsApp number and the CRM should be in your clinic's name, with where patient details are stored agreed in writing before launch.
  7. 07

They say plainly what they can show you

Ask for aesthetic clinic work you can verify. If they have none, they should say so. We have none yet, and this page says so.

08 · The rules

The rules that shape aesthetics marketing in the UAE.

Each regulator's own document, in plain words, linked and dated. We build every page, ad and message to fit them.

Cosmetic Botox and fillers are classified as a prescription-only medicine and shall only be administered by a trained and privileged licensed physician (11.2), and are not permitted for patients under 18 (11.5). A face-to-face consultation and assessment is mandatory before any non-surgical cosmetic procedure; remote consultation or home-visit assessment is not acceptable (11.1). The practitioner giving laser or IPL hair removal must be the same gender as the patient, except for facial and external extremities treatment (11.10).

  6. Rule 06National Media Authority (NMA), formerly the UAE Media Council

    Advertiser permits for creators

Under Media Council Chairman Decision No. 3 of 2025 and Federal Decree-Law No. 55 of 2023, individuals (citizens, residents or visitors) who produce advertising content on social media from within the UAE, with or without compensation, need an Advertiser Permit. An individual promoting a product or service belonging to themselves or a company they own, via their personal account, is exempt. Prior approval must be obtained for specialised ads, which the guide says include healthcare. Advertising agencies must keep records of contracted permit holders and their published content for three years.

11 · Questions

Questions aesthetic & dermatology clinics ask us.

What does a marketing agency do for an aesthetic clinic in Dubai?

It gets patients to find the clinic, turns their messages into in-person consultations, and follows up within DHA's advertising rules. We do that as one system: treatment pages and campaigns, one inbox for every channel, administrative replies, a named coordinator, and reminders and recalls the patient agreed to.

How much does aesthetic clinic marketing cost with Lucidarc Digital?

The 90-day programme is a fixed fee of AED 15,000–30,000 (≈ USD 4,000–8,000), covering everything we set up. After day 90, a retainer from AED 5,000 (≈ USD 1,400) a month keeps it running. Ad spend is separate and paid direct to the platforms. The free audit sets where in the range you land.

Do aesthetic clinic ads in Dubai need medical director approval?

Yes, for social media. DHA's ST-21 standard says anyone promoting the clinic by name or location should have the medical director approve the content, and posts should be archived with their edits. Nothing we draft goes live until your clinic has approved it.

Can an aesthetic clinic post before-and-after photos?

Under DHA's ST-21, only with documented consent, the same person, the same lens, no editing, and the statement that results may vary from one individual to another, plus the risks, in the same font size. We don't publish any image that doesn't meet that, and your clinic approves each one.

Can a clinic advertise Botox or fillers by name?

Treat it as a question for counsel. DHA classifies cosmetic Botox and fillers as prescription-only medicines, and federal law restricts advertising prescription-only medicines to the public. We build pages around the consultation and the clinic's counsel decides how treatments are named.

Can an AI assistant answer patient messages for an aesthetic clinic?

Yes, for administrative questions only: hours, branches, price ranges with their conditions, what to bring, booking a consultation. It never judges suitability or predicts results, and it hands over to a named coordinator. DHA requires a face-to-face consultation before any non-surgical cosmetic procedure, so that is where every conversation leads.

Can we run free trials or buy-one-get-one offers?

Free trials, no: DHA's ST-21 prohibits trial usage of medical products or services. Prices must state their conditions, and time-limited inducements you can't honour are not acceptable. Bundles and buy-one-get-one go to your counsel before we write a word.

Do influencers need a permit to promote a clinic in the UAE?

Usually, yes. The Media Council's Advertiser Permit covers individuals publishing advertising content on social media from the UAE, paid or unpaid, with an exemption for people promoting their own business. In Dubai the medical director must also approve anything that names the clinic, and the clinic is liable for whatever is filmed on its premises.

Will our clinic appear in ChatGPT or Google's AI answers?

We can't promise it, and nobody honestly can. We write answer pages for the questions patients ask, keep your facts consistent across your site and profiles, and re-test the questions each month with the AI visibility check in our audit, so you can see what changed.

Is this right for every aesthetic clinic?

No. If your diary is full and the constraint is doctors, more enquiries won't help. If you want an assistant that tells patients whether a treatment suits them, we won't build it. And if nobody at your front desk can own follow-up, start there before you spend on a system.
